Downtown volunteer spots
check-inVolunteers in this area set up a Director's Check In Booth, assist the directors with information and provide them with a Director's packet. Additional volunteers set up, manage and clean up a self-serve Director’s breakfast buffet.

judges standVolunteers in this area decorate the judges stand in front of the Napa Courthouse on 3rd Street. They also ensure that each judges station has water and scoring supplies.

Judges hospitalityHospitality Volunteers meet at the corner of Brown and 3rd street where there will be a RV. Volunteers set up, manage, and clean up a continental style self-service breakfast table for the judges.

operationsThese positions help coordinate the competition. An Inspector is needed to count members for each band entry and relay any changes from their registered number to the judging stand so they can be categorized correctly in the competition. A parade starter is positioned at 3rd and main and communicates with the head judge to ensure each band lines up, starts properly and begins only upon signal from the head judge. One volunteer will be stationed at the end of the Competition Zone and raises a flag to indicate to the judges when the band has left the Competition Zone.

parking & traffic The parking team arrives early and is provided with a map to help block off parking. They will manage participant vehicle parking. Traffic Control volunteers will be placed at cross street closures to ensure traffic stays off the parade route. Various individuals are also needed throughout the parade route to give directions to visiting bands and keep the parade running smoothly. Volunteers are also needed to pre-plan and map out parking for participants.

promotions/infoStationed in 3rd street across from the judges booth, these volunteers set up a promotions table with programs and band review logo wear. Volunteers manage the sale of these items via cash or credit using a square which is provided. They also can answer questions and provide directions to parade goers. 1 volunteer also transports remaining items after the parade to Memorial Stadium to be sold at the promotional table there.

parade clean upThis group of adults oversees a group of Vintage students designated to walk and clean up the parade route after the last band has left the warm up area for the Competition Zone.
|
student coordinatorThis person pairs up Orchestra students with an assigned Director and Band. These students provide help and assistance to the visiting bands. This volunteer must walk students through the route and highlight the various areas such as warm up zone, competition zone, etc.

music coordinatorA Music Coordinator will be stationed at the director check in table to collect each band's music and ensure it gets to the Judges Booth before the band performs.

Memorial Stadium/napa high volunteer spots
napa high parkingThe parking team plans out the parking lot configuration to accommodate the expected number of busses and vehicles from each school. The parking team will pre-position barriers the night before the event. The parking team will arrive early at Napa High School and Memorial Stadium parking lots to control the parking area and direct the band busses and support vehicles entering the area.

stadium prepThe Stadium prep and set up crew will be working on either Friday (Nov 10th) evening or early Sat (Nov 11th) depending on the availability of access to the stadium. This crew will set up parking lot barriers to direct traffic in the stadium lot. They will also set up tents, shades, tables and begin the prep work for the concession stand.

hospitalityProvides an inviting area with food and beverages for directors and judges in the Memorial Stadium. The team must determine and obtain equipment as needed (warmers, ice chest, etc.), purchase food items; and set-up/cleanup facility. Volunteers are also needed to take orders and deliver dinner to the judges in the announcer’s booth with cold drinks/water provided in an ice chest.

ticket sales
Stationed in the ticket sales booth of Memorial Stadium, this team sells tickets to the observers in accordance with the ticket prices, operates the Square on their cell phone or the designated tablet for credit card charges and maintains a count of free entry admissions (NVUSD Student, Military).
front gate
Stationed at the front gate, this team ensures that all persons entering have a wristband attached to their arm. Volunteers and VHS Band students are directed to the Volunteer/Student Check-In area
Check-inVolunteers at the check-in table check-In Directors and bands that were not part of the downtown parade competition. They also check in volunteers providing them with a name tag. Lastly, they will check off entering Vintage music students and hand out wristbands to each student.
promotionsThis group sets up all promotional items, restocks the tables as necessary and sells promotional items and programs in accordance with the pricing list. While cash sales are the primary form of sales at this table, volunteers will also operate the Square on their cell phone or the designated tablet for credit card purchases.
Bake SaleBake Sale Volunteers sell baked goods donated by our music families at our bake sale table. Responsible for replenishing the table as needed and making sure needed supplies are available. This is a cash only table and most baked goods are sold for $1 each. Several shifts available.

band gateVolunteers work in shifts stationed at the north Band Gate. Only allows the bands that will be performing to enter the area with their members and any props. Ensures the bands enter in order of their performance, 1 band on the field, 1 in the Ready area and one in the Hold area (just outside the gate). Directs all others to the main south gate to enter the stadium.

operationsThese positions help coordinate the completion and work with the judges. This team includes Competition Starters who will be on the field in the north end of the performance field. The starters take instruction from the head judge and will relay when the Band in the Hold area is able to enter the field. Timers also give directions to visiting bands and keep the show running smoothly.
trophiesA Trophy Coordinator and assistant order, pick up ( if delivery is not available) and set up the trophy displays at stadium. These positions are not continuous through the day but have definite timelines prior to the awards ceremonies. These volunteers also coordinate the students assigned to the Trophy detail.
clean-upAdult coordinators are needed to chaperone student groups assigned to clean up the parking lots at Napa HS and the route the bands took from there to the Stadium and the Stadium front and side parking lots. Volunteers are also needed to breakdown tents, tables, and concession areas. Some supplies will also be loaded on trucks bound for the VHS Band room and storage areas.
